How do I get a phone?

In order that new staff can be contacted as quickly as possible a phone will be on your desk and waiting for you when you join the University.

If you do not have a phone on your desk then please contact your line manager to request one.

If you think you would benefit from someone showing how to use the phone then ask your colleagues for assistance or contact the staff IT training team i-learn.

What you need to know about the phone system.

  • You will probably have to login to the phone system. If this is not the case for your phone you will be told.
  • Your login ID is the same as the ID you use to login to your PC.
  • The default passwords or PIN numbers are:-
    • 12345 for the phone PIN to login
    • 915837 for voicemail
    • "password" for the User Options page
  • You are advised to change these PINs and passwords at the earliest opportunity through the User Options page.
  • Your extension number is allocated to you when you join and will, normally, remain with you for your time in the University.
  • If your extension number starts with a 3 then the DDI code is 0141 331 3xxx
  • If your extension number starts with an 8 then the DDI code is 0141 331 8xxx
  • If your extension number starts with a 1 then the DDI code is 0141 273 1xxx
  • To call any user in the University, regardless of location, you ONLY need to dial their extension number.
  • If your department requested Voicemail for you, this will be operational. Please make sure you record a greeting message for your callers.
  • You will only be allowed to dial numbers within the level of access requested by your department - either Local calls, National calls, Mobile calls or International calls. If you need a higher level of access than you have been given then please contact your HoD as they will have to provide written authorisation in support of your request to the Information Service Desk.
  • Calls to directory enquiries, international operator and 09xxx numbers are blocked. Directory enquiries can be made via the internet at www.bt.com or www.yell.com
  • You can login to any phone in the University and the system will give you all your facilities at that phone. This includes your own extension number, speed dials, voicemail etc.
  • You can only login to one phone at a time so the action of logging in to a phone will log you out of any other phone you were logged in to.

There are a number of services available from the phone system and these can be obtained either by subscribing to them in your User Options page on the intranet at http://10.10.1.100/ccmuser.

Call Recording

For those who will be conducting research interviews by telephone, there is a Call Recording service that allows calls to be recorded and the recording transferred to CD or similar media. This service is provided to assist research and can only be granted to a user who is authorised by their Dean (or Head of Department if you are employed within a support department).

Telephone Conference Server

When there are more than 2 people, including external people, joining in a conference call, the MeetingPlace Express server will handle all your conference setup for you. The server creates a virtual conference centre that everyone dials into on 0141 273 1555 and manages the connections. Login to the Conference Connection server at http://10.10.1.200/ Your userID is the same as your computer login ID and your password is the one you use to log on to the Cisco User Options web page to change settings etc. It is not linked to your phone logon PIN but may be the same if you set it to be the same. If you cannot remember this password, you can email the Information Service Desk, isd@gcal.ac.uk, to request that they reset your Cisco phone password.

Conference Telephones

We have a number of conference telephones that allow between 4 and 6 users to sit around one phone and hold a conference call with other parties.

These can be booked through the Information Service Desk on 1234.

Intranet Directory

The intranet directory is available where you can amend/update your own details.
